If your thinking about a central location in the country with good interstate access and airlines. Look at Indianapolis, Indiana.

Sprinter,
How's that search for a "town hall" venue going?
David T. has supplied a range of prices for an Embassy Suites venue.
We'll compare those prices to what you come up with and see which concept makes more sense.
I appreciate your legwork.

David,
I am just a little over an hour down the highway from St. Joe MO and am very interested in attending this get together. If the show ends up being up there I have an Epilog Mini that I could bring up if we need more machines for warm bodies to gather around.

James,
Thank you for your generous offer. We appreciate it.
We're still arm-wrestling over what will be left in and out.
The second part of your question is much easier.
David Takes, our extremely capable co-moderator, and although a relative newbie himself (4th year as an awards professional) is highly capable of handling things in our absence.
Very much so.

David,
It would be helpful but not completely necessary, However if we get into the discussion of "how to" the system would be needed.
Realistically about 10 without stepping on each other. A power point set-up could be used as well just a lot of work involved in doing it.
The one thing about the ULS system that is really nice is you can completely disassemble it and put it back together in 30 minutes. Theres not a lot to get into.
I am speaking about how I would do it. If you are going to use the local rep then you should discuss the situation with them directly. I don't see any real problem with getting / having a system there. However not all reps are created equal and there may be a let down for the readers of this forum.
I do kinda wish that more of our reps would chime in here I sometimes feel that I am the lonely voice for ULS.

Thank you.
You may be the only voice for ULS on the forum, but you're coming through with very clear enunciation for the company.
Very impressive participation.

Got it covered. I reservred 25 rooms at a hotel close to the airport, they are going to donate a large meeting room.
Also enlisted R.S. Owens as the main sponsor for a couple of grand.
Have contacted at least another dozen hardware and software companies that will pay $500 each to show their wares.
Also contacted several organiztions that represent unemployed minorities and the unemployed due to outsourcing etc for the job fair you are conducting.
Let me know if you need anything else.
P.S. you should be contacted soon to finalize the dates etc. It sure was easy....just had to use your name when talking to all the above people.

I'm thinking it's going to be hard to beat Kansas BBQ, KC has a good airport and it's on I-70. It's about a 4 hour flight in my little plane so I'll be there if you're keeping track.

Mike,
Stop it! I haven't eaten dinner yet. That sounds WAY too good. :-)
All:
I'm thinking a one-day seminar will be best. Certainly open to suggestion on that.
Here's my reasoning:
This is based on a very popular small gathering at the (now defunct) Color Factory (El Cajon, CA) a few years back. People who attended, are still talking about it, in glowing terms.
The owner, Bob Smith, and his staff organized a nice event. It was a two-dayer. Sat/Sun.
Bob wrangled a group rate deal at a local hotel, where the attendees stayed. Nothing fancy, but clean and adequate.
The first day, started off with a presentation by my wife Robyn, explaining how the light we view photos, (or sublimated items) under, affects our ability to accurately reproduce color.
That was followed by a presentation from a Photoshop whiz, showing basic, yet very effective, use of the program. Very well received.
If memory serves, the PS instruction was followed by Larry Cohn's "Mug Press Shootout" which gave us a chance to see the pros and cons of various mug presses.
There was a lunch break, which (I believe) was followed by a presentation from a Corel Draw instructor. Basic use of the various tools etc.
That pretty much wrapped up the first day of instruction.
For dinner, Bob received a group rate, from a local restaurant. Dinner was followed by a party, which was held at Bob's home.
A good time was had by all.
The second day of instruction was rather lightly attended. Plenty of good info to be had, including Bob's marketing ideas and my very first, Sublimated Award Plaque presentation.
I can only assume the diminished attendance was due to people having to make their way back home, or choosing to take in some of the local sights. Who knows? Maybe a hangover or two :-)
I've never been to the KC area myself and would like to have a day to either see the area, or maybe play some golf. (ok, there's the real reason for my suggestion:).
What do you think?
Also, does the low-frill "town hall" idea have any merit, or would you prefer a more upscale Embassy Suites type of thing?

David,
The Embassy Suites is a good option because there are other more economically priced hotels in the area, some within walking distance. Embassy Suites also has a shuttle from the airport that will save people from having to rent a car. They also have competitive pricing for their meeting rooms. Room prices are a bit higher than some of the hotels, but it does include a nice happy hour reception and a full breakfast.
The other hotels in the immediate area are a Drury Inn and Amerisuites. Within a mile or two is a Comfort Inn, Hampton Inn, EconoLodge, Radison, Holiday Inn Express, Residence Inn, Fairfield Inn, Marriott, Hilton and more.
The best room rates will be found on Friday and Saturday evenings, thus we will be looking at a Saturday seminar date. Are there any opinions to the contrary?

Dave,
To further complicate things, there are huge differences in each different model of the Epilog and Xenetech (and I suspect everyone else). Regardless of which (if any) machines we have on site, there is a good chance that the majority of attendees would not have that machine and hence.
I guess my thought would be to have a "break out" to different rooms or different corners within the room(s) available for each manufacturer represented.
I'd support your thought of a Powerpoint presentation, possibly with "captured" DV instead of the live DV as suggested by Dave Takes. That way differences in previous models could also be addressed.
What you are talking about has been done on several occasions, so I don't think there would be any issue with fire marshal's etc.

I really didn't think one manufacturer's maintenace demo would address all brands.
Happy to see you're offering to hang out with the renegades :-)

Dave,
I didn't make myself clear. I'm agreeing that a PP presentation might be better than a ringside seat, one model would hardly cover maintenance/repairs for that one brand.

David,
I'd love to attend, thought it's still too soon for me to commit.
Low cost and and good value will also come into the decision. Given the airfare and the decision to go for the education, I'd pick two days over one.
I saw another post mention possible hotels. I have no idea what they might cost in that area. I think it said Friday and Saturday had the best rates. What days have the best rates for airlines? I suspect the difference in flying could make the hotel look negligible.

Ken,
We'll make every effort to make the event, itself, as affordable as possible, but as you suggest, getting there by plane, lodging etc. will represent the "Chunky Monkey" for many, including myself.
When we return from Vegas, we'll need to tighten up the logistics. I'd like to move forward as quickly as possible, while allowing ample time for people to review their financial considerations and work schedules.
